The personal data processed is subject to the applicable data protection regulations, in particular the Bavarian Data Protection Act (BayDSG) and the German Telemedia Act (TMG). Retrieval of network pages

When a page or subpage of baiosphere.org is accessed, the web server temporarily stores the following information:

  • IP address of the requesting computer
  • Date and time of access
  • Name, URL and transferred data volume of the retrieved file
  • Access status (requested file transferred, not found, etc.)
  • Recognition data of the browser and operating system used (if transmitted by the requesting web browser)
  • Web page from which the access was made (if transmitted by the requesting web browser)

These entries are continuously evaluated automatically in order to detect attacks on the web servers and react accordingly. In individual cases, i.e. in the case of reported malfunctions, errors and security incidents, a manual analysis is carried out. The legal basis arises from the obligation to ensure the IT security of a website pursuant to Section 13 para. 7 of the German Telemedia Act (TMG) as well as from the general duty and state task of IT security pursuant to Art. 11 Para. 1 p. 1 BayEGovG.

Entries older than seven days are anonymized by shortening the IP address. The anonymized data is used to create access statistics.

The IP addresses contained in the entries are not merged with other databases, so that no conclusions can be drawn about individual persons.

On the net pages of the AI agency session identifiers (so-called “session cookies”) may be used. The session identifiers are only used to provide the functions offered on these pages and are not used to track user behavior.

Newsletter

If you register for our newsletter, we use the data you enter exclusively for this purpose and to inform you about the facts relevant to this service or registration. A valid e-mail address is required to receive the newsletter. Also stored are the IP address through which you subscribe to the newsletter and the date and time at which you order the newsletter. To ensure that an e-mail address is not improperly entered into our distribution list by third parties, we work in accordance with the law with the so-called double opt-in process. As part of this process, the order of the newsletter, the sending of the confirmation email and the receipt of the registration confirmation are logged. This data serves as proof of your consent. Your consent is the legal basis for this data collection according to Art. 6 para. 1 lit a DSGVO. With the use of our newsletter, no data is collected that enables user tracking or other statistical evaluations.

You have the option to revoke your consent to the storage of your data and its use for the newsletter dispatch at any time. For the revocation, we provide you with a link in each newsletter and on the website. You also have the option to send us your revocation request directly to the e-mail address info@ai-agency.de.

Social media and external service providers

Insofar as social media icons from Facebook, Twitter, LinkedIn, etc. are used on our websites, no personal data is passed on. To avoid automatic data transmission, reference is made to these providers via URL. For data protection reasons, no active social media plugins are used.

Our social media presences are part of our public relations work. Our aim is to provide information that is appropriate to the target group.

By consenting to the use of our social media channels, they agree to information being disclosed to the provider of that service and possibly transmitted to the United States. The processed data may include, in particular, IP addresses and location data of the users. With this information, the provider can analyze their behavior and, if necessary, uses the results to display and market personalized advertising. There is currently no decision by the EU Commission that the U.S. generally offers an adequate level of data protection. You agree at the same time acc. Art. 49 par. 1 p. 1 lit. (a) GDPR to the risk that their data may be accessed by U.S. authorities in a secret manner or for use for surveillance purposes. A legal remedy against this processing is not secured. The use of the function is subject to conditions and guidelines of the provider.As far as you use our social media channels, no personal data or log data are collected by us. However, their providers process your personal data. The use of offers on social media platforms is voluntary and in knowledge of the respective data protection provisions.

Analytics

This website uses the open source web analysis service Matomo to optimize our web offers.

With the help of Matomo, we collect and analyze data about the use of our website. This enables us to find out, among other things, when which pages were accessed. We also record various log files (e.g. referrer, IP, browser and operating system used) and can measure whether our website visitors perform certain actions (e.g. clicks). Visitors’ IP addresses are automatically shortened so that it is not possible to identify individual persons.

This analysis tool is used on the basis of Art. 6 para. 1 lit. f GDPR. We have a legitimate interest in analyzing user behavior in order to optimize our website.

We have configured Matomo so that Matomo does not store any cookies in your browser.

We automatically delete all recorded data after 180 days.

Registration and contact forms

Personal data that you may send to us via contact forms, registration forms and similar via our web pages will only be accepted with your consent and will only be used for the purpose stated in the forms.

For this purpose, the receiving office (e.g. the press department or the secretariat) will forward your e-mail to the appropriate contacts in the agency, if necessary. The data transmitted to us with your inquiry will be deleted from our computers after your inquiry has been dealt with, both in the press department and by all other contact persons.

The transfer of personal data to government institutions and authorities only takes place within the framework of mandatory national legal provisions or if the transfer is necessary for legal or criminal prosecution in the event of attacks on our IT infrastructure.
